Maximizing the Performance of Your Workforce

Tracking employee time and attendance is an important task for any human resources department. Whether it’s done manually with paper time cards or online using web-based time tracking software, keeping tabs on employee work hours and attendance behaviors is crucial. That being said, switching to a paperless time tracking system can actually bring about huge savings for your business. Tracking employee time and attendance with an automated system doesn’t only help maximize your overall productivity, but it also cuts down on labor costs. There are less chances of human error when processing employee work hour data, and there is an added line of accountability amongst employees when punching in and out. Studies have actually shown that employees are on time more often when they know their attendance is being monitored by an automated system such as an online biometric time clock. In fact, a biometric time clock is one of the best solutions available to manage your employees’ time and maximize the performance of your workforce. Below are a few reasons why.

Identify Poor Performers & Boost Accountability

Poor performers…you know who we’re referring to here. We’re talking about the slackers and the lollygaggers. Regardless what term you use, a poor performer is a time waster, and time wasters are a huge detriment to your business. Implementing a biometric time clock and timetracking software can actually help in this department by identifying which employees perform well and which ones don’t. If you want to know who your consistent employees are, a cloud-based biometric time clock system is the way to go. Since it requires an individual’s physiological trait for identification and since it records and stores punches in real time, there is no grey area as to when someone clocked in or out. This means you can accurately determine, without a doubt, which employees are always on time or which ones are frequently late or leave early. When strict and fair time tracking means are in place, employees come to know and understand what is expected of them and are more likely to perform better. By installing an automated employees management system, employees are also more discouraged to cheat or lie about their time (mainly because the biometric punch requirement prevents them from doing so).

Improve Efficiency

With web-based time tracking software installed, organizations can track employees at any time and from anywhere. You might see this phrase used a lot, but if you stop to give it a thought you’ll realize how incredible the concept is. Literally –  you can access your employees’ work hour data from any time and from anywhere! If you’re on vacation in Italy but want to know who is currently in the office, you can simply log in and see who is working, who was late, who is nearing overtime and so much more. As long as you have Internet, you can access your employee time and attendance data. You can monitor work hours, manage schedules and even process your payroll from whatever convenient location you might find. Imagine the hours you can save by doing so. As a busy employer or manager, you now have more time and freedom to focus on the many things you need to do for the day without being tied to your office or computer. The cloud allows for mobile workforce management, which allows you the flexibility and convenience of managing on the go. Talk about improving efficiency!

Web-based time tracking software also makes it more convenient for your employees because it gives them numerous options for clocking in and out. This might be from the physical time clock, or a web browser page or even a Smart phone or mobile application. Having options helps free up time – time that your employees can now put toward actual work and production.

When it comes to business, time is a hot commodity and automation and convenience are gold. Why not have all three by embracing today’s cloud-based biometric time and attendance technology. You know the saying, time equals money. If you have the chance to automate a business process to save on both (time and money) why would you say no? SirReel Studios Hollywood Testimonial - uAttend Time Clock System

Video Transcript :

When I was recommended to try uAttend, at first I wasn’t even sure I needed it. But seeing the difference that uAttend has made for my company, obviously I wish I started earlier.

Tell us about YOUR BUSINESS:

Our company is called SirReel Studio Rentals. We started in 1996; it was just me. We work with people from all over the entertainment industry and in all different genres. Primarily though, we focus on television commercials. Anything they need that’s not on camera, we’re trying to provide that for them from trucking to motor homes to makeup stations, whatever they need. SirReel has a tremendous amount of equipment and employees and things all over, and it’s really nice now to not have to worry about our time clock management. To have uAttend, it takes that and puts it to bed. It’s something we don’t have to worry about at all.

What are the BENEFITS of uAttend?

The feature that I’m loving about uAttend, currently, is the “Who’s In” feature. I actually live 100 miles from my primary office, so often I’ll need to know who is at the warehouse right now. I can just pull it up – it’s definitely changed our business.
Here we are in the wood working shop. See here they’re working on some rolling makeup mirrors. Sometimes we’ll have a shoot going on, like for instance the Oscars or the Grammys, and we’ll have some employees that need to show up there just to unload a truck or whatever. They clock in with their mobile device and save us that time. This makes it easier for the employee and easier for employer, so it’s perfect for us. Let me show you our celebrity vehicle called SOLO. [uAttend is] really easy to download straight into QuickBooks. It talks to QuickBooks, tells them what the hours are, puts it in a format we can use, and immediately we are running payroll. It’s perfect for us.

Would you RECOMMEND uAttend?

If you are going to incorporate a time clock system today, to me it would be silly to use anything other than uAttend. It makes our employees more efficient, more accountable to being here on time. It’s online. It’s web-based. It makes it so easy that to go back to the way they used to do it, to me, it doesn’t make any sense. You gotta do it this way.

How Old is Your Time and Attendance System?

Time Clock
When is the last time you thought about or replaced your employee time and attendance system? Surprisingly, a vast number of small and medium-sized businesses continue to use legacy workforce management systems, some that are often decades old! I’ve said it before and I’ll say it again, but it is beyond me how these relics can be considered reliable and efficient in this day and age when there are such innovative and affordable time tracking software systems that address your every time and attendance need!

As a business owner, just think of all the benefits your business can derive from today’s automated workforce management systems. I’m talking along the lines of efficiency, reliability, time savings, cost savings, time theft prevention, cloud connectivity, and so much more. If you have been neglecting your time and attendance system, my advice is to look at the bigger picture and consider some of today’s advanced solutions like biometric fingerprint time clocks.

How do you know when it’s time to invest in time tracking software? Well, I actually have a pretty simple formula for you to follow to help determine if it’s time to move away from your current time tracking system. Really, all you need to do is take a look at the features and benefits that today’s automated systems offer (www.uattend.com is a great place to start looking) and ask yourself 1) does your existing system match any and 2) could your business benefit by any of them.

Here are a few of the bigger questions to ask:

Does your legacy system automate your time and attendance from start to finish?

Is time theft (e.g., buddy punching) a problem at your company?

Does your legacy system offer biometric fingerprint or facial recognition?

Does it provide universal access to your employees and your HR managers?

Does it provide integration with the payroll software systems?

Does it offer real-time employee attendance data?

Then, as I stated earlier in this post, the next thing for you to do is to determine the benefits derived from any of these features that might be missing from your current solution. Weigh out the pros and cons of these benefits, estimate your ROI by taking into account the low costs of cloud-based attendance solutions and your current labor costs.

Most employers who go through this process arrive at the same conclusion, which is that their business could benefit from advanced time tracking software systems. If you’ve gone through this exercise, chances are that you too have discovered the benefits of a new time attendance management system. Why Manual Time Tracking No Longer Works

Time clock by uAttend
As a former HR professional, I find it perplexing how some businesses have embraced automated technology in nearly every aspect of their enterprise; yet, they often ignore technology when it comes to modernizing their time clock systems. What they are failing to recognize is that manual time tracking processes just don’t cut it anymore.

Time and attendance technology has evolved rapidly, especially in the past decade. The following analogy is simple, but helps illustrates what I am trying to say. Take mobile technology for example. Look at your cell phone and think about all the things you are able to do with it today. Now, think back 10 years ago (or even just five or six years ago) and recall not just how your cell phone looked, but think about the limited number of things it could do. I mean, there was a time when all you could do was make and receive actual phone calls! Today’s cell phones are a different ball game and allow users to do a ton of useful and important things from convenient locations.

So goes the same for time and attendance systems. If you are using a legacy time keeping system from 10 years ago (or again even just five or six years ago), you are missing out on a whole new world of important features, opportunity and convenience. Just like an old cell phone has its limitations, so does an old timekeeping system. This is especially true of manual timekeeping systems like a mechanical punch clock or paper timesheets. Think about it – can a manual timekeeping system really do anything more than record employee time and attendance? If your employees are simply writing in their work hours each day, the answer is no. And if they are using a time clock to physically punch a timecard, someone else has to tally and crunch the data, which is time consuming and prone to human error. These are all unnecessary limitations of legacy time tracking systems and can easily be addressed with technology like automated web time clocks.

The Power of Automated Web Time Clocks

Today’s automated workforce management systems allow you to do more in less time, and with fewer errors. Small and medium-sized businesses that function with automated timekeeping solutions enjoy a world of useful features that enable them to accurately track employee work hours, as well as save, retrieve and export this data when needed. Today’s systems are web-based and use cloud connectivity allowing for real-time monitoring and management. This has a large impact on the overall profitability and sustainable growth of a business.

The power of automated technology is applicable to a broad range of business processes from payroll and scheduling to email and purchase orders. The key is to not forget about the role technology plays in workforce management. It’s time for today’s businesses to embrace time and attendance technology with advanced time clocks systems and software.
